Track recurring daily routines separately from project work
What Are Sticky Activities?
- Recurring tasks that appear in Focus List on a schedule
- Not tied to a specific project - for daily/weekly routines
- Persist and repeat on your chosen schedule
- Carry over to next day if not completed
- Can be marked Essential to prevent deferral
Common Use Cases
- Morning routine - Email review, planning session, priorities check
- Daily standup prep - Check team status, review blockers
- End-of-day review - Time tracking entries, status updates, reflection
- Weekly reporting - Compile metrics, write status report
- Recurring admin tasks - Expense reports, team check-ins
Creating a Sticky Activity
- Click "Add Sticky Activity" in Focus List
- Enter name (e.g., "Morning Email Review")
- Set recurrence: Daily | Weekdays | Custom days
- Choose time: Start of Day | Anytime | End of Day
- Add optional criteria (what makes it "done")
- Set deferral behavior: Grayed out OR Disappear
- Mark as "Essential" if it can't be deferred
How Sticky Activities Work Daily
- Appears in Focus List on scheduled days
- If not completed, carries over to next day (becomes overdue)
- Can be deferred to postpone (default: 80 minutes)
- Essential activities cannot be deferred (prevents avoidance)
- Deferral count tracked (alerts if avoiding important work)
- Completion criteria reset daily when marked complete
- Reappears next scheduled day automatically
Real-World Example: Morning Routine
Morning Email Review (Daily, Start of Day)
- Recurrence: Every day
- Time: Start of Day (morning)
- Criteria: Process inbox to zero, flag urgent items, respond to high-priority emails
- Essential: Yes (can't defer)
Daily Standup Prep (Weekdays, Start of Day)
- Recurrence: Monday-Friday
- Time: Start of Day (morning)
- Criteria: Review my tasks, identify blockers, prepare update
- Essential: No (can defer if running late)
End of Day Review (Weekdays, End of Day)
- Recurrence: Monday-Friday
- Time: End of Day (afternoon/evening)
- Criteria: Log time entries, update task status, plan tomorrow
- Essential: No (can defer)
Deferral System
- Click "Defer" to delay for 80 minutes (customizable)
- Activity grays out or disappears (based on your setting)
- Deferral count tracked over time
- Essential activities cannot be deferred
- Activity reappears when deferral expires
- High deferral count? Reschedule or shorten that activity
- Use patterns to understand your actual work rhythms
