Process Owner Guide

Document expertise and create reusable templates

Capture organizational knowledge, reduce onboarding time, and build repeatable processes that scale without you.

1
Identify Repeatable Process

Look for work that happens repeatedly: client onboarding, service delivery, knowledge transfer before employee departure.

Example:

New employee leaving? Create a "Knowledge Transfer for [Name]" template before their last day. Document the expertise they carry.

2
Create Template

Document activities in logical sequence. Define quality criteria for each activity. Add dependencies where order matters.

Example:

For "Client Onboarding": (1) Schedule discovery call, (2) Document objectives and budget, (3) Create proposal, (4) Get approval.

3
Test Template

Create a test task from your template and walk through execution yourself. This reveals missing steps or unclear instructions.

Example:

Walk through your "Client Onboarding" template end-to-end. Where did you get stuck? What assumptions did you make that need to be explicit?

Success Metric: You can execute it without questions
4
Enable Team Execution

Share template with team. Create real tasks from it. Track which steps consistently trip people up. Iterate the template.

Example:

Your team uses the "Client Onboarding" template for real projects. If someone always asks about "how detailed should the discovery notes be?", add that to the instructions.

Success Metric: Team member can execute without asking questions
